Information about academic advising and course registration for new students beginning Spring 2022

THE 4 Steps

 

1. CREATE YOUR VIRGINIA TECH USER ID (formerly PID): This will be your Virginia Tech username and email address. (Allow 24 hours before completing the remainder of this checklist)  View answers to common questions or problems associated with creating your Virginia Tech User ID.

2. ENROLL in the 2-Factor Authentication with Duo.
Deadline: First week you accept your offer

3. DOWNLOAD the DUO Mobile App on your personal smartphone and enroll the device.
Deadline: First week you accept your offer

4. ACCESS, READ, USE your VT Google Apps Email daily.
Your VT Email is how the college and your academic advisor will communicate with you.

5. ADD your VT email to your personal smartphone that you will be using. 
Deadline: First week you accept your offer

6. SIGN UP to receive VT Alerts for your phone. 
Deadline: First week you accept your offer

7. DOWNLOAD Adobe Acrobat Reader on your computer for FREE You will need this software when completing the College of Science Expected Courses & Credits Worksheet in Step 3 and other forms at the university.

Deadline: First week you accept your offer

1. Register for the University Orientation on January 14, 2022, beginning December 15, 2021.

This is different than registering for an academic advising/course registration session with an academic advisor.  

  1. Sign up through Hokie Spa
  2. Click Information for New Students
  3. Click New Student Orientation
  4. Click Sign Up for Orientation

2. COMPLETE and SUBMIT the immunization history form.

3. COMPLETE the housing/dining contract. (a requirement for first-year students) and review the Living-Learning Community (LLC) options.

(Advanced Placement (AP), Cambridge International Exams, College Level Examination Program (CLEP), Dual Enrollment (DE), International Baccalaureate (IB), Transfer Credits)

1. SEND your Official Transcripts (high school) to the Office of Undergraduate Admissions once you have received your final grades.

Transfer students must also do this in order to receive credit for the foreign language requirement if you completed 2 years in high school.

2. SUBMIT your Advanced Placement (AP), Cambridge International Exam, College Level Examination Program (CLEP), Dual-Enrollment (DE), International Baccalaureate (IB) scores to Virginia Tech.

Expected Credits How to Submit to Virginia Tech

Advanced Placement (AP)

Scores must be sent to Virginia Tech from CollegeBoard by entering Virginia Tech's School Code #5859. They will submit them electronically.

Transfer students must also submit AP scores from CollegeBoard as your prior institution(s) transcript will not include those scores.
*A maximum of 38 credits can be awarded.
*Student score report copies will not be accepted.

College Level Examination Program (CLEP) Scores must be sent to Virginia Tech from CollegeBoard by entering Virginia Tech's School Code #5859. They will submit them electronically.

Dual Enrollment (DE) /Transfer

Official transcripts for dual enrollment courses or courses taken at other universities must be submitted to Virginia Tech. Your high school does not send dual enrollment credits and you MUST request an official transcript from the university the courses were taken.

You can request the official transcripts from most university websites and have them sent electronically to Virginia Tech and have them emailed to admissions@vt.edu.

If you are unable to submit the official transcript in an electronic format, please have the official transcript mailed to:

International Baccalaureate (IB)

Scores must be sent from www.ibo.org by entering Virginia Tech's School Code #5859. They will submit them electronically.
*Student score report copies will not be accepted.

Cambridge International Exams

Scores must be sent from Cambridge Assessment International Education or other designated testing agency to Virginia Tech's Office of the University Registrar.
*A maximum of 38 credits can be awarded.
*Credit will not be considered based on a high school transcript.

If you are unable to submit the official scores in an electronic format, please have the official scores mailed to:

3. LOOKUP how your expected courses and credits may transfer to Virginia Tech and indicate the Virginia Tech Equivalent in the College of Science Expected Courses & Credits Worksheet.

You will provide information from this document to the department prior to your Academic Advising/Course Registration session in Step 4: College of Science Action Items.

If you are not expecting any expected credits, please continue to Step 4: College of Science Action Items.

4. VERIFY receipt of Advanced Placement (AP), Cambridge International Exams, College Level Examination Program (CLEP), Dual Enrollment (DE), International Baccalaureate (IB), or transfer Credits in your Hokie Spa.

  1. Log into Hokie Spa
  2. Click Grades Menu
  3. Click Transfer and Other Additional Credits

1. PREPARE for Class Registration through Hokie Spa

  1. Click Hokie Spa
  2. Click Registration (Add/Drop) and Schedule
  3. Click on Prepare for Registration
  4. UPDATE: Emergency Contact Address, Emergency Contact Confirmed, FERPA Release, VT Alerts, Self-Disclosure of Arrest/Conviction, and Student Financial Responsibility

A new student hold will remain on your account until you attend the Academic Advising/Course Registration appointment.

2. WATCH these videos to understand how to use Virginia Tech’s timetable of classes and how to register for classes.

Your academic advisor will pre-register you in classes required for your major, but you will not be able to edit your course schedule until you meet with your academic advisor (a new student orientation hold will be on your account until that time).  

You will want to reference these videos if you need to make a schedule change after talking with an academic advisor.

3. LOCATE AND SAVE/PRINT the Checksheet for your major from the column indicating 2021/2022. If you are undecided, locate and print the Checksheets for the majors you may be interested in and indicate the courses you have earned credit for based on your Expected Credits from the College of Science Expected Courses & Credits Worksheet.

Use The Most Recent Pathways Guide (Concept) to determine what courses will apply to the Pathways general education concepts you may have left to fulfill.

All majors and minors have a Checksheet that lists all requirements for earning a degree. The Checksheet will include courses required, the minimum number of credits required for degree completion, minimum grade and GPA requirements, and more.

4. SCHEDULE YOUR ACADEMIC ADVISING/COURSE REGISTRATION APPOINTMENT. Check your Virginia Tech email account for an email on January 3, 2022, from your academic department providing you with instructions on how to schedule an academic advising/course registration appointment.

5. VISIT the website of the department your major is in to complete their required steps and to prepare for your academic advising appointment.

6. ATTEND ACADEMIC ADVISING/COURSE REGISTRATION appointment virtually via Zoom on a charged computer. DO NOT use a phone as you will be sharing your screen during your academic advising orientation session.

We encourage students to attend this academic advising appointment individually without others or members of your support team so our academic advisors and students can connect with each other.

Step 1: Begin with Technology
